Job Vacancies at JHPIEGO Indonesia

JHPIEGO, an affiliate of the Johns Hopkins University, builds global and local partnerships to enhance the quality of health care services for women and families around the worlds. Jhpiego is a global leader in the creation of innovative approaches to developing human resources for health.

The JHPIEGO Indonesia program is aimed to improve maternal and newborn health outcomes in Indonesia. We are currently implementing several programs in Indonesia with a variety of funding sources. In order to reach our goals, we are recruiting for several positions to be part of the Jhpiego Indonesia team. The successful candidate will enjoy working as part of a dedicated team, with the added satisfaction of working for an organization committed to the Jhpiego vision and mission.

Please find the following positions are available by local based condition (relocation not available):

1. Finance & Admin Officer (6 positions) Code: FAO (location)

Department: EMAS

Position Reports To: Finance and Administration Director

Positions Supervised: Admin Assistant

Location: Banten Province; West Java Province; Central Java Province; East Java Province; North Sumatera Province & South Sulawesi Province

Overview:

The Finance and Admin Officer will assist the program and technical staff in the implementation of Jhpiego financial policies and procedure. Administer and monitor the Jhpiego finances to ensure that the financial systems are maintained in an accurate and timely manner.

Responsibilities:

Implement Jhpiego financial policies and procedures and adhere to donor rules and regulations. Assist in developing the program activity budget Assist program and technical staff on money disbursement during program activity Assist program and technical staff on making reconciliation report Review the completeness of reconciliation report Review staff travel expenses report. Establish and maintain cash controls Guide and orient program staff in preparing travel expense and advance reconciliation report Review petty cash expenditure Conduct routine petty cash count Work with internal and external auditor when necessary Review office supply requisitions Assist program and technical staff in day to day activity that related to finance and admin Coordinate with Finance and Admin Jakarta team.

Qualifications/Knowledge, skills and experience:
  • Bachelor/S1 degree in Finance/Accounting.
  • Minimum of 3 years experience in finance and accounting.
  • Good knowledge in accounting of INGO, specifically in project budget and financial reporting.
  • Understand of Indonesian Tax Regulations.
  • Excellent computer skill, especially MS Excel and knowledge of other Microsoft Office programs.
  • Fluency in written and oral English is compulsory.
  • Diligent, honest and mature worker, willing to work under pressure.
  • Able to work independently and under minimum supervision, but with a spirit of teamwork.
  • Tactful and excellent analytical thinking.

2. Program Coordinator (5 positions ) Code: PC ( location )

Department: EMAS

Position Reports To: Provincial Program Manager

Positions Supervised: None

Location: Banten Province; Central Java Province; East Java Province; North Sumatera Province & South Sulawesi Province

Overview:

The Program Coordinator will provide administrative support for program teams in Indonesia. S/he will work closely with Advisors, Program Managers and Finance staff to ensure close adherence to JHPIEGO’s agreed upon work plans and overall scope of work.

Majors Duties & Responsibilities:
  • Assists Program Manager teams and work closely with finance staff in developing activity budget
  • Coordinates meeting, workshop and training, including preparing logistic for partici pants
  • Coordinates with advisors, program managers and finance staff in disbursement need based on activity budget
  • Prepares travel authorization for staff, consultants and counterparts for activities and workshops
  • Assists in transportation and hotel arrangement for staff, consultants and counterparts for their visit activities
  • Work closely with finance staff in processing and reconciling of invoices and payment documentation
  • Performs other duties as assigned by Program Manager teams and other technical team members Qualifications/Knowledge, skills and experience:
  • Diploma in secretarial, administration or other related fields, with min 2 – 3 years experience in administration

Strong ability to work and communicate within a teamPractices knowledge of finances is an advantage Demonstrated excellence in oral and written Indonesian language; English language proficiency preferred Computer skills demonstrating in competency in Microsoft office: Excell, MS word and Power point Ability to work independently and to exercise independent judgment Ability to ensure adherence to applicable laws and regulations Demonstrated ability to exercise confidentiality and professionalism Ability to work under pressure, priorities, schedule and balance workloads in the face of conflicting and uneven demands

3. Administrative Assistant (6 positions) Code: AA (location)

Department: EMAS

Position Reports To: Finance and Admin officer

Positions Supervised: Driver

Location: Banten Province; West Java Province; Central Java Province; East Java Province; North Sumatera Province & South Sulawesi Province

Overview:

The Administrative Assistant will perform a range of administrative tasks in Jhpiego’s Indonesia office and assist finance in handling petty cash.

Answer telephone, take and relay messages Managing and distributing general documentation and correspondence General administrative and clerical support, prepare letters and documents Schedule appointments, maintain appointment diary either manually or electronically Assist senior program and technical staff to produce letter, documents, reports and presentations or materials for distribution (including word processing, computer graphics, lay out, photocopying, etc. Manage mail and package delivery, including weekly courier service to Jakarta office Maintaining general office filling, photocopying, and faxing.Operate a range of office machines such as photocopiers, computers, scanner and faxesManage office car traffic and driver log sheet

Maintain petty cash office and report to the Finance and Admin Officer on the balances of the petty cash on daily basis Assist provincial staff on processing the purchase request for office purposes

Qualifications/Knowledge, skills and experience:Graduate from secretarial or business studies Minimum 2 years experience in office administration Knowledge of administrative and clerical proceduresAbble to work methodically, accurately and neatlyGood oral and written communication skillsProficient in Microsoft Office ApplicationsAble to work as part of a teamHighly meticulous with excellent interpersonal, communication and organizational skills Able to work in a fast-paced environment

4. DRIVER (6 positions) Code: DR ( location)

Department: EMAS

Position Reports To: Office Manager

Positions Supervised: None

Location: Banten Province; West Java Province; Central Java Province; East Java Province; North Sumatera Province & South Sulawesi Province

General:

Performs work in the operation of a vehicle to assure safe transportation of clients to and from various destinations and to assist clients on entry and exit from vehicles as necessary.

Responsibilities:

Prepare Vehicle by conducting operator maintenance Plan Route and requirements by studying schedule or ad-hoc requests by the office Transport the managing level/staff and guests for office purposed Fulfill special requests the office by picking up and delivering items as directed and running errands Maintain passenger confidence by keeping information strictly confidential Any other tasks as assigned

Qualifications/Knowledge, skills and experience:

Working knowledge of the rules and regulations involved in the safe and efficient operation of automotive equipment. Required Skills: Safety First and Good Driving Habits Is attentive to the needs of the Managing level/staff Respond quickly and competently to the Managing/staff requests related to the job

Has excellent attendance and positive attitude to the job must possess a valid driver’s license issued Experience in the operation of small/large vehicles, either manual or maticKnowledge of basic automotive maintenance procedures.Ability to deal effectively and patiently with others.Ability to understand and follow oral and written instructions.Ability to operate lift equipment and to correctly secure wheelchairs and other mobility devices.Employee must possess a valid driver’s license issuedMust have good and strong experiences, with a clean driving record,

5. Office Boy/Messenger (6 positions ) Code: OB/M (location)

Position Reports To: Admin. Assistant

Positions Supervised: None

Location: Banten Province; West Java Province; Central Java Province; East Java Province; North Sumatera Province & South Sulawesi Province

Overview:

The Jhpiego Indonesia program is aimed to improve maternal and newborn health outcomes in Indonesia. The Office Boy will provide administrative support to Jhpiego’s Indonesia Program, including general office support, mail delivery and collection, administration duties and run simple errands.

Major Duties and Responsibilities:

Monitoring the use of equipment and supplies within the office. Cleaning all the office equipments also make sure that all the equipments are ready to use Able to operate office equipments as requested Dealing with queries or requests from the visitors and employees.

Coordinating the maintenance and repair of office equipment. Assisting other administrative staff in wide range of office duties. Collecting and distributing couriers or mails among employees and opening and sorting emails. Helping the receptionist, secretaries, or other administrative assistants in performing their duties. Cooperating with office staff to maintain proper interaction and a friendly environment within the office. Delivering mails/packages Purchase food for lunch Make sure all the rooms (receptionist; public and pantry) are clean and well managed

Qualifications/Knowledge, skills and experience:
  • Min. High School graduate with basic office skills
  • Knowledge of clerical and standard administrative procedures
  • Knowledge of consumer service practices and principles
  • Good communication skills and professional personalpresentation
  • Should be honest, respectful and trustworthy
