Yayasan Jembatan Masa Depan (www.jmd.or.id) is an Indonesian-registered non-governmental organization. The specific mission of JMD is to develop and implement sustainable development initiatives in former tsunami and conflict-affected zones. Over the past five years, JMD has been responding to the livelihoods and education needs of the most vulnerable populations in the Province of Aceh, Indonesia. Requests from the Indonesian government and other international aid agencies have prompted JMD to expand its working areas to the more remote communities throughout Aceh, where some of its poorest and marginalized inhabitants are living.
It is clear that as the external reconstruction assistance programs have phased out, many areas of the province have not been afforded the appropriate training in civil society strengthening, needs assessment, government/donor networking or community organizing that is necessary for their own citizens to become development leaders in their own right--autonomous shapers of their district’s economic and social destinies as part of a unified Aceh and a global market. Thus, JMD’s goal is to not only implement small-scale projects in individual locations that are most in need, but to work to establish a continuum of economic and social services in one concentrated sub/district and to significantly add to the economic stability of the province.
POSITION, REPORTING AND DUTY STATION
Purpose – JMD is seeking to employ an Operations Support Officer to assist and ensure the provision of management and program support for JMD’s activities and initiatives throughout the Province of Aceh.The position of Operations Support Officer is full-time. Details on reporting, location, and travel as follow:
Reporting – The Operations Support Officer will report directly to JMD’s Associate Director and work closely with JMD’s Finance Manager.
Location and Travel – The Operations Support Officer will be based at the JMD Banda Aceh Office. S/he will be required to undertake frequent travel within NAD Province to other project sites, including in very remote and rural areas in fulfilling the duties of the position. Persons unable to fulfill this travel requirement will not be considered for the position.
PRIMARY DUTIES AND RESPONSIBILITIES
The Operations Support Officer will be responsible for supporting and working with the Associate Director and the Finance Manager focusing on management, operations and procurement support activities. While at times s/he may be directed to perform other duties and responsibilities which are within her/his training, capacity and competence, the specific duties of the Operations Support Officer will include:
Management & Operations Support:
1. Day-to-day support of JMD operations and field-based projects, in consultation with the Associate Director and/or the Finance manager and, as appropriate, other JMD staff: trouble-shooting and consulting with community leaders and beneficiaries; information sharing and, when appropriate, coordinating with other relevant stakeholders; and, monitoring project expenditures (via physical presence and/or field visits).
2. Monitor and report the progress, current status, and challenges faced regarding the various JMD operations and project activities, as requested.
3. Assistance to Associate Director in compiling information for reports, proposals, and the JMD website
4. Accompany visitors to the field and provide contextual briefings on JMD work and activities, as requested.
Procurement Support:
5. Conduct and document an inventory of JMD's property and any assets under its control both in Banda Aceh and in field locations, including user, specification, and location details, under the supervision of JMD Management.
6. Regularly monitor and inspect JMD's property and any assets under its control to ensure that they are used only as intended, and to assess any damages as a consequence of JMD work and activities, and update the inventory accordingly.
7. Support purchase and procurement of office equipment and supplies for JMD’s main office, as well as for JMD field project sites, as requested
8. Work with the Associate Director, Finance Manager and other project staff to provide cost estimates and obtain bids for materials, services and field visits to be used in the development of funding proposals and regular internal and external reporting.
9. Support in the maintenance of clear and regular communications among Aceh-based staff.
QUALIFICATIONS
A candidate for the position of Operations Support Officer should present with the following key qualifications:
• University and/or Technical training in a relevant subject.
• At least four years of relevant professional experience, with experience in procurement and logistics, and some field reporting.
• Excellent oral communication skill in Bahasa Indonesia and Acehnese; Fluency, with ability to write in English.
• Excellent inter-personal, organizational and team-building skills.
• Knowledge about Aceh, Indonesia, with a strong preference for work experience in Aceh.
• Willingness to travel frequently throughout Aceh, including to remote rural areas.
Other Qualifications
• Mature, self-confident, and self-assured, with ability to work under pressure.
• Independent, disciplined, and loyal.
• Articulate, well-educated, and politically aware while remaining impartial and discreet at all times.
• Able to assess and analyze situations rapidly, objectively and prudently.
Contract duration: 12 months (3 month probationary period)
Start date: ASAP
Salary: Commensurate with experience and skills.
